The problem

Offering an open slot is only part of preparing a visit. The practice still needs a correctly matched patient, provider and visit type, the required demographics and insurance, and the consents and questionnaires for that visit. When those steps are disconnected, the patient waits or the work lands back on the front desk.

A patient opens the scheduler from your website, a text the voice agent sent them during a call, or a referral that has been accepted through the self-referral workflow.

What the AI does, step by step

  1. Identify the patient and the visit

    The scheduler asks what kind of care the patient is looking for and whether they have been seen before. Established patients are matched to their existing athenaOne chart. New patients provide the demographic information your practice requires to open one.

  2. Apply your scheduling rules

    Provider matching, appointment types, locations, new-patient rules and notice periods come from your athenaOne configuration and the workflow you approved. The same rules the voice agent follows on the phone apply on the web, so a patient gets the same answer either way.

  3. Book the appointment in athenaOne

    The visit is written to the athenaOne schedule against the matched provider and appointment type. For new patients, the chart is created first so the appointment is attached to a real record, not a placeholder.

  4. Finish check-in before arrival

    Self-check-in sends the consent forms, intake questionnaires, insurance update and outcome measures your practice assigns to that visit type. Completed items return to the chart. Patients who booked by phone can be sent the same self-check-in link, and the agent reminds them to finish it before arrival.

What changes in athenaOne

  • New patient chart created in athenaOne with the demographics collected, for new patients only.
  • Appointment placed on the athenaOne schedule for the matched provider, location and appointment type.
  • Completed consents, questionnaires, insurance updates and outcome measures returned to the patient record.

Completion milestones

Booking and check-in are separate milestones. Booking finishes when the appointment is in athenaOne and the patient has a confirmation. Check-in finishes when the assigned items return to the chart; a booked visit does not mean those forms are complete. Anything that cannot finish online is handed to staff with the information collected so far.

  • A patient who does not fit the online rules, such as a visit type held for staff review, is routed to your team with the request captured.
  • An uncertain match to an existing chart is held for staff rather than creating a duplicate.
  • Clinical questions raised during booking go to your care team. Clinical decisions stay with them.
  • Patients who prefer to call reach the voice agent, which follows the same rules and can send the web form mid-call.

Questions buyers ask

Does this replace the athenaOne patient portal scheduler?

It runs alongside athenaOne. During scoping, review the scheduling and intake already configured for your practice, then identify the remaining work. Pretty Good AI combines your booking rules with patient matching, new-patient record creation and assigned intake. Agree which system owns confirmations and follow-up rather than assuming overlapping tools coordinate automatically.

Can established patients use it too?

Yes. Established patients are matched to their existing chart. New patients provide the information your practice requires to open one, and the chart is created before the visit is booked.

What about patients who still call?

The voice agent follows the same rules. A patient on the phone can be sent the web form to complete while the agent walks them through it, and can be sent self-check-in after booking.

Does a booked appointment mean check-in is complete?

No. Booking means the appointment is recorded and confirmed. Check-in is a separate milestone based on the assigned forms and information returned to the chart. Measure those outcomes separately so an unfinished intake is not counted as completed check-in.
